Privacy Policy

Your privacy is important to us. We respect the rights of the users of our BriefBuilder application and the visitors to our websites. In this Privacy Policy, you will find a description of how we handle your data.

For the used terminology we refer to our Terms and Conditions

General

  • Any data that you provide via the application is respected and kept secret and it will not be used in any manner or for any purpose that you have not instructed or permitted.
  • This Privacy Policy applies only to our application and our websites. It does not apply to third-party websites or third-party applications you might be able to access from our application or websites.
  • While using BriefBuilder, you agree that you are familiar with our Privacy Policy and accept it.

Personal information

  • When you are a Subscriber, and thus having an agreement with BriefBuilder B.V., we collect your name, company phone number, company email address and company address for invoicing purposes.
  • When registered as a User, we store your name and email address, and optionally your phone-number. This information is necessary for user management (e.g. (re)activating user accounts) and for you to be able to collaborate with other users in your project or environment (e.g. identifying your comments).
  • We may utilize your email to inform you about changes to the application (e.g. new features, bug fixes), for customer support and for marketing purposes. You can always unsubscribe marketing emails in the bottom of the emails you might receive.

Non-personal information

  • We may collect information from and about the devices and software that are being used to access the BriefBuilder application and our websites (e.g. the type of browser). We may also collection information about how users navigate in the application (e.g. analysing which features or web pages are most frequently used or visited). This data is analysed in pseudonymized and anonymized form with the sole purpose of improving the application and our websites.

Your content

  • As a user, you are likely to enter, upload and share data in the BriefBuilder application. This data is stored by us. As a general rule, we do not examine that data, but we may need to in the following cases:
    • When there is a support request from your side;
    • When it helps us with the maintenance and optimisation of the application;
    • When have a justified belief that you are violating any of our Terms.
  • To be able to provide optimum support, each environment features a dedicated BriefBuilder support account that our help desk can use to support you, at your request. You are free to delete this account, but we would like to point out that this may limit our ability to provide you with support.
  • We recommend that you do NOT store any sensitive information in the application (cf. Article 9 in the General Data Protection Regulation).

Cookies

  • We use cookies (a small text file stored on your computer for record-keeping purposes) on our application and websites to improve the design and usability of our websites and our Application.
  • We do not sell, rent or lend your cookies to external parties, but we may use them for analysis and advertising purposes in accordance with this Privacy Policy.
  • Please note that you can control, delete and restrict cookies via the settings menu of your browser. If you reject cookies, you can visit our websites, but you will not be able to use our Application.

Sub-processors

  • We use the application ‘Intercom’ to allow you to chat with us and to send you emails concerning important application updates. See here for Intercom’s privacy policy.

Security measures

  • To prevent unauthorized access and safeguard your personal information and data, we have implemented a number of security controls, as described in our Terms.

Unauthorized access

  • You control with whom you are sharing data and user information. We cannot control the actions of those with whom you share your data or user information, and we are not responsible for third-party circumvention of any privacy settings or security measures on our application.

Retention

  • If you cancel your subscription, we will delete your data. There may, however, be a delay in deleting your data from our servers and back-up storage. Furthermore, we may retain your data if that is necessary to comply with legal obligations, resolve disputes, or enforce our agreements.

Data Processing Agreement

  • Your access to and use of the BriefBuilder application is conditioned on your acceptance of, and compliance with, our Data Processing Agreement (“DPA”), which can be found on the BriefBuilder website.

Changes

  • If we change our Privacy Policy, we will post those changes on this page.
  • We will notify you of any changes with two months’ notice. This is done via email or in-app notification. You will then get 7 days to object to the changes in our Privacy Policy.

Complaints

  • If you have any complaints about the way we handle your data, you can submit a complaint to the Dutch Data Protection Authority, which can be done via the following website: autoriteitpersoonsgegevens.nl.
